
The uses of PDF files vary in every institution, it have evolved an electronic environment that claims to be more efficient, user friendly and safe. Duff Johnson explains the The Many Uses of PDF . He stats that “Any business can realize tremendous benefits with PDF”. It is simply efficiency and the ability to reduce costs. It allows for users, suppliers and customers in a business setting o access relevant information at any platform. The one industry we feel that paper is in abundance is the banking or financial services industry. However Johnson claims that the Financial Institutions have also been able to use pdf documents and the pdf platform in accordance to strict rules and regulations for the Canadian government. While the Candia Government has stayed away from electronic files to their citizens, they too are getting involved as they do feel this avenue is also secure.
Johnson further explains that too many people are using the wrong electronic form of documents to send and receive files. He explains that Word files clogg networks and we face surprises as we open Word documents. He explains that although there are many other mediums of sending an electronic file such as Word, Excel, HTML, XML and so on, Pdf is far more reliable and is the most favourite one of all to use. It has set precedence in the document sharing and storing electronic mediums.

ReplyDeleteHaving worked in finance department of a big corporation of Canada, I know how PDF has made life easier and less complicated in regards to managing papers and backups for various entries and accounting work. More and more vendors and customers are being converted into EDI(Electronic Data Interchange), which is facilitated by PDF greatly. The invoices and statements are interchanged between companies in PDF format and saved as backups on CDS or hard drives. It not only saves paper but also the problem of storing and protecting paper files.
Not only this, PDF also has other great features like compressible into smaller size, split pages and then merge them into different files to save only relevant pages. So many other features are discussed in the article 7 wonderful features of PDF . It talks about how PDF files can be secured with passwords as opposed to locking up paper files in rooms.
SO yea I completely share the dream of paperless office of John Warnok. Technology helps us to realize our dreams faster than we can even imagine them.

ReplyDelete“Paperless Office”, this is not only John Warnok’s dream, but most companies also have a similar dream. Adobe PDF Reader is a welcome program and it is used widely by companies as well as individuals. With all technology, since it is ever-changing, over time the cost reduces and there are new developments leading to upgrades. It gets better and better.
As a student, Adobe PDF Reader has been a most useful tool in my studies. I must confess that with this tool I have no need to print course material. It allows me to save course material which I can easily access and scroll through. This saves me time and allows me to be more effective and efficient in my studies. I will even go further to say that it is a contributor to my success. I also enjoy reading for pleasure via Abode.
The following article, 5 simple tools for a paperless office, also highlights the use of Adobe PDF Readers. The use of Adobe provides a paper-saving feature which is beneficial on a global basis. It also minimizes storage spaces for companies and individuals. Other students like myself will also have a reduced need to print. In addition to saving trees, educational institutions will experience a reduction in the cost of copying paper, wastage of paper (printing errors), recycling cost of paper, etc.

ReplyDeleteI did my Co-op placement with an accounting firm in Mississauga. They have just transitioned to going paperless the year that I joined them. Clients were encouraged to send PDFs of their documents and in the event that we do receive the actual paper copies of their files, we PDF them in the system rather than producing photocopies. Each employee is given 2 screens to conveniently go through various PDF documents while working simultaneously with other softwares. Training was also provided to teach us to keep a neat and well organized working paper file for each client.
I never though much of it until I saw the amount of work (and paper) that was being used up and kept in storage for all the companies’ clients in the previous years. This article (http://www.fpb.org/hottips/303/Top_10_benefits_a_paperless_office_can_provide.htm) might be a little bit outdated but nevertheless still current in today’s shifting environment.
